Meeting Room Instructions
The information on this page provides the optimum use of the equipment in the LTRA meeting room.
What's on This Page:
Meeting Room TV
The meeting room TV is used as a monitor for both the Meeting Room PC and for guest computers:
HDMI 1 is the input source for the Meeting Room PC.
HDMI 2 is the input source for guest computers. Use the red HDMI cable to connect to a guest computer, and use the remote to select HDMI 2 as the source.
Pressing the "TV" button on the remote will turn on the TV with the input source set to HDMI 1
Meeting Room Email Account
The Meeting Room has its own email account which can be used to send meeting login links or documents for use in the meeting room.
The [email protected] email can be used to send a virtual meeting link or document to the Meeting Room PC. However, this email inbox should be considered temporary, and all emails in it deleted when no longer required.
Shared Folders
Shared folders are available through the File Explorer app. When the app is opened, navigate to the [email protected] drive near the bottom of the left navigation pane, and open the "Shared drives" folder. There are two shared folders provided specifically for the Meeting Room PC:
Meeting Room Computer. This is a folder that is provided to place documents that may be required for a temporary and specific event.
Training Resources. This is a folder that is used to hold ongoing training resources. For example, volunteer orientation training, etc.
Meeting Owl 3
The Meeting Owl 3 is the webcam device on the tripod in the middle of the room. It is used for virtual meetings providing a 360-degree camera with an integrated microphone and speaker. It should be placed in the centre of the in-person meeting to provide the best visual experience for the virtual participants. Please note the following tips:
It should be placed in the centre of the local participants with the power and data cables facing the west wall of the meeting room.
The settings are optimized for the meeting room's environment, but any setting adjustments can be done with the Owl app available on the footer of the meeting room PC.
